Death
, Taxes and filling out expense reports are not on my favorite things to
do list. At lease we only have to face death once in a life time, taxes
once a year, but expense reports are a continuing thing. I have yet to
complete one right the first time around. Either I forget to include an
item, put it in the wrong place, fail to file it on time or any other number
of whoops. Could this be the reason I have yet to get a Christmas card
from our accounting department?
QuickXpense provides the business traveler with an easy to use way to prepare, track and file expense reports. The folks at Portable Software Corporation were smart enough to target a single unpleasant task come up with a excellent "in depth" solution.
They must be doing something right, as there are a couple thousand companies out there that have had their own company expense forms setup to be used with this program. These companies range from the big Fortune 1000 down to us little guys.
When I first heard about this program I thought it would be nothing more then one of those little fill a blank form type programs with a couple of extra bells and whistles. Talk about a BIG surprise! This is a well thought out Real World Solution. From the no hassle install, through the hand holding interview section and sample expense tutor, to the full use of the program has been one of the best software experiences I have encountered.
The install procedure was pretty much the standard Windows type "Run" setup. No problems here. The default choices worked just fine for me.
Once installed it takes you through a "Welcome Interview". This section helps you to set up your basic user information, company name, expense report references, currency used, file name, password (if desired), credit card info, company car use, cash advances, foreign currencies, etc. You chose the usual methods of payment, the type of expenses and reimbursement methods you use in your business. A real walk in the park. QuiceXpense is wonderfully designed and very flexible. Nothing is in carved in stone, so you can go back and change things as needed.
You can choose from the 35 industry and occupation specific expense form that is included with the program or select from one of the 1800 plus companies that have all ready converted their own expense forms to work with Quickxpense. Your company can have their own unique expense form converted to a "XpenseForm" to work within QuickXpense. There is no charge if your are a employee of a fortune 1000 company, or if your company purchases three copies of QuickXpense. Otherwise the cost is $99.95. Your company's custom designed" Xpense form" is guaranteed to be accepted by your accounting department or your money back.
Entering receipts is as easy updating your check book in Quicken. You enter your data in an electronic checkbook register type register. The register is smart. It sorts your receipts by date and type, so you can enter them in any order. It memorizes entries, such as names of people, restaurants, and fills them in automatically the next time you type in the first few letters of their names. Once your receipts are entered the software automatically calculates all the totals and enters the information in the right spots on the expense form. Just the way the bean counters like it.
Quickxpense will calculate costs when you drive a car, convert foreign currency, and itemize each expense type - telephone, room service- found on your hotel bill. Choosing an expense type from the pick list generates an entry blank with proper Smart list entries. For example, an entry for an airline-travel expenses will bring up the SmartList of air carriers. An entry for dinner calls up a list of restaurants generated by the package from previous entries. You can print it out to send it as a hard copy to your company or dispatch it via electronic mail.
QuickXpense can alert you when it's time to file an expense report or payments are due to you. It will even flag you when a particular credit card is near its limit. Better to be hounded by your computer then your boss.
If your are wise to the ways of record keeping, you will be pleased with QuickXpense's power, flexibility and ease of use. The rest of us will find it a godsend. Who knows, you may even get an extra christmas card this year.
